This page has been created to inform you about how Volair Limited uses your personal data and how we comply with the General Data Protection Regulation. This page is here to answer any questions you may have around the use of your data by Volair Ltd and signpost you to where you can find out more information if you would like to.

Why do we need to collect information about you?

We will use your personal information for a limited number of purposes, and at all times within the rules set out.  Information is processed in accordance with the General Data Protection Regulation. We will only gather the minimum information necessary and use it to provide you with an effective and joined-up service.

We will process your personal information for the following purposes:

  • The reason why you provided the information. For example only using the information given on a membership form to process your membership, and to monitor our performance in responding to your request.
  • To allow us to be able to communicate with you and provide services appropriate to your needs for example be able to arrange suitable access arrangements for a person who has mobility difficulties.
  • To make sure that we meet legal requirements, including obligations imposed under the Race Relations Act and Health and Safety Acts.
  • Where the processing is necessary for us to meet our legal obligations, for example the prevention and/or detection of crime.
  • To process financial transactions including payments of membership and services.
  • Where you have consented to the processing.
  • Where it is necessary to protect individuals from harm or injury.
  • Where otherwise allowed under the Data Protection Act 2018 or General Data Protection Regulation, for example disclosure to comply with legal obligations.

What will we do with your information?

In deciding what personal information to collect, hold and use, we are committed to making sure that we will:

  • Only collect, hold and use personal information where it is necessary and fair to do so.
  • Recognise that any personal information handled by us is held on behalf of that person and we respect that responsibility.
  • Adopt and maintain high standards in respect of the handling and use of any personal information. Providing training to staff that deal with your information to make sure it is handled properly.
  • Securely delete any personal information when it is no longer needed.
  • Keep your personal information secure and safe.
  • Not without good reason break the privacy of the users.
  • Think about and look at the privacy risks first when planning to use or hold personal information in new ways, such as when introducing new systems.
  • Be open with individuals about how we use their information and who we give it to.
  • Regularly check that we are living up to our promises.

We may disclose personal information to third parties, but only where it is necessary, either to comply with a legal obligation, or where allowed under the Data Protection Act 2018 or General Data Protection Regulation, for example where the disclosure is necessary for the purposes of the prevention and/or detection of crime, or where it is necessary to allow a third party working for or on behalf of Volair Limited to access the information.

We will strive to make sure that any personal information in our care will be kept safe and that where your information is given to a third party; we will seek to ensure that the third party has sufficient systems and procedures in place to prevent the loss of personal information.

Use of CCTV

We have CCTV systems in our centres, for the purposes of public/members safety and the prevention and detection of crime. In these locations signs are prominently displayed notifying you that CCTV is in operation and providing you with details of who to contact for further information about them.

We will only disclose CCTV images to third parties for the purposes as stated above of public safety and the prevention and detection of crime. CCTV images will not be released to the media for entertainment purposes or placed on the internet.

You have the right to see CCTV images of yourself and be provided with a copy; please see ‘access to your information’ on how to make a request.

When and how we dispose of your information

We only hold information as long as it is needed or required by law and then dispose of it securely. This ensures that personal information is not kept for longer than necessary.

Marketing

We will only send you information about our services and/or products if you have asked us to do so. You can opt out of this at any time for example by clicking on the unsubscribe button on the bottom of an email.

Access to your information and correction

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of the information we hold about you please email info@volair.org.uk. We will need to confirm your identity before any information can be provided. We may make a small charge for this service.

What you’ll receive:

  • A copy and description of the information held about you
  • The purposes for which the information is being processed
  • A list of recipients may be disclosed
  • An explanation of any codes used

Complaints:

If you are dissatisfied with how your request has been death with or if the information held about you is incorrect:

  • You should email or write to the Customer Care Team outlining your concerns on the contact details shown below in the ‘how to contact us’ box.
